HR Management - College of Medicine and Health Sciences

 

The HR Management team are available to provide you with support and advice on a comprehensive range of human resources matters (please see detail below). Broadley, our work covers recruitment/selection and appointment of new staff, appointment maintenance for staff and scholars, industrial relations matters, ESP systems processing and reporting, and liaison with central HR. Many of the schools and Centres within the College also have staff who undertake HR functions. Their contact details have been included under Key Contacts in the left hand menu. We work closely with the College Safety and Training Adviser, and the Graduate Covenor of the Medical Sciences Program on matters to do with scholars.

It is our aim to make HR information and processes as easy as possible to access and understand. To assist in achieving this aim, we have grouped information according to your role within the College and included a number of flow charts and checklists to help you provide the information we need to get you and/or your people hired, inducted, maintained,extended and most importantly paid! Our Services

Recruitment, Selection and Appointment
  • Provide advice and assistance with the creation of advertisements on receipt of draft role statements and selection criteria.
  • Manage the advertising process through central HR
  • Confirm selection committee composition
  • Provision of secretariat for recruitment processes (draft selection committee report, request referee reports and notify unsuccessful applicants).
  • Draft employment contracts for advertised and non-advertised positions
  • Prepare and submit relevant paperwork to the Department of Immigration and Citizenship (DIAC) for visa sponsorships (permanent, temporary and occupational trainees)
  • Arrange reimbursement of travel and removal costs for new starters (if applicable)
  • Induction of new staff members (assist with the completion of relevant paperwork and provide advice in relation to employee conditions, awards and entitlements.
Appointment Maintenance
  • Draft expiry letters for resignations, retirements and end of fixed term contracts
  • Draft extension letters for fixed term and casual contracts
  • Draft transfer letters
  • Draft change of hours letters
  • Draft appointment and extension letters for visitors (Scholars, Visiting Fellows, School Visitors) and arrange payment of allowances if applicable
  • Draft appointment and extension letters for Adjunct Status
  • Draft appointment and extension letters for Headships and Deputy Directos and arrange payment of allowances
  • Draft confirmation of employment letters
Reclassifications, Academic Promotions and Conversions
  • Provide advice and assistance to supervisors with the preparation of conversion and reclassification applications
  • Academic promotions: collation of applications, provision of secretariat and drafting of committee reports
Industrial Relations Matters
  • Provide advice and assistance with the following processes and issues: non-performance, misconduct, breach of contract, conflict of interest, grievances, change processes, workers compensation claims, injury notifications, return to work program management and liaison.
ESP System Pay related media processing
  • Hiring of new starters, extensions, transfers and terminations.
  • Increments, allowances, loadings, one-off payments.
  • Timesheets and overtime
  • Academic promotions, reclassifications
  • Payroll costing analysis - investigation of anomolies identified within individual budget units.
Reporting
  • Incremental advancements, probationary periods, performance reviews, visa expirations and terminations.
  • Leave liabilities for annual and long service leave for both academic and general staff.
